General Information

Event Description

YLC Wednesday at the Square will host an Artist Village for the 2019 season. The ten-week concert series will be held in downtown New Orleans at Lafayette Square across from Gallier Hall. The concert series runs from March 20, 2019 to May 22, 2019 from 4:30pm to 8:00pm with rain dates scheduled for May 29th, June 5th and 12th.

For a flat-rate price of six hundred dollars ($600) for 5 concerts, or eleven hundred ($1,100) for all ten concerts, you can display your work, conduct live demonstrations, and/or sell pieces to our audience of up to 6,000 people every week.

YLC Wednesday at the Square attracts an audience of downtown administrative to management level professionals, middle to upper income, aged 25-55 years. It also draws music lovers from as far away as the Northshore, Mississippi, and the River Parishes. 

Application Requirements

If you would like to participate, fill out the following questions and attach all requested documents by January 11, 2019. 

There is limited space available in the Artist Village. When these spaces are fully booked, we will not make additional space. In order to ensure a variety of merchandise, you must include photos or samples of the art you wish to vend with this application. You may include links to websites featuring your art. 

Applications received after January 11, 2019 will not be considered. YLC will notify selected vendors after the selection process is complete. Space is not reserved until payment (check or credit card) is confirmed. Spots will be assigned on a first-confirmed, first-served basis.

Date Selection

If you choose the 5-concert option, please indicate the dates for which you like to participate in the Artist Village at YLC Wednesday at the Square. YLC will make every effort to accommodate vendor preferences but cannot guarantee the desired dates will be available. Preference will be given to vendors who commit to the entire season, are locally-owned and operated and have a proven history of success with our audience.

Marketing and Publicity Information

Throughout the 10-week concert series, Young Leadership Council will promote the Art Vendor via our wesbite, social media platforms, and weekly newsletters. We are requesting the following information to cordinate and streamline promotion efforts with your team.


Merchandise

Applications that are not accompanied by examples of merchandise will not be considered. Photos are appreciated. 


Items Provided By YLC

Young Leadership Council agrees to provide the following:

  1. A reserved space in the Artist Village for the agreed upon number of dates.
  2. Security: YLC will have both NOPD Officers and private security guards patrolling the square 4:30 PM – 8:30 PM each Wednesday. Please note this security is limited to the immediate area of Lafayette Square.
  3. General promotion of the event via the website, weekly e-mail blast.
  4. An area to load in and out. 

Please note that YLC does not guarantee any level of attendance or level of product sales. YLC does not offer on-site electricity for the Artist Village. Art Vendors will be responsible for providing their own battery power if electricity is desired. 

Art Vendor Agreement

The Art Vendor agrees to: 

  1. Provide one WHITE 10’x10’ pop-up tent (tents must be secured by weights but no stakes due to the underground irrigation system).
  2. Provide all tables, chairs, and other equipment needed.
  3. Execute and attach the Hold-Harmless Agreement per the link below and acknowledge the Parking/Vehicle Agreement included in this application.
  4. Accept that Young Leadership Council is not responsible for damages to or theft of product at the concert site.  
  5. Inform the City of any income made at the concerts on your monthly tax statement.
  6. Be complaint with all City of New Orleans permitting requirements for participating in special events, Special Event Permits can be obtained through the City of New Orleans One Stop Application process
  7. Staff the booth 4:45 PM - 8:00 PM each Wednesday you participate. Load-in shall take place along Camp Street and N. Maestri Street from 3:00-4:40PM.
  8. Load out should begin promptly at 8:00PM following the concert with all equipment, supplies, and personnel removed by 8:30PM. 
  9. No tents or equipment may be set up before the load in window begins at 3:00PM and must be attended at all times.
  10. Provide any necessary transportation and parking to and from the concert square for all staff and equipment.
  11. Provide YLC with written notice via email of any cancellation of participation at least five (5) business days in advance of the start time of each concert. Failure to do so will result in a forfeiture fee equal to the per-concert rate paid by the Art Vendor.
  12. After the first cancellation or no-show, the Vendor may be removed from consideration for future series and may also forfeit the ability to attend future dates during the concert’s series. YLC will not offer refunds for concerts that vendors are unable to attend.
  13. If the YLC cancels a concert for any reason, including weather, the Art Vendor may reserve space at a rain date concert, pending availability. Rain dates are scheduled for May 29th, June 5th and June 12thUnder no circumstances will YLC issue refunds due to weather-related concert cancellations.
  14. Please note that the YLC reserves the right to remove any vendor from participation in the 2018 concert series for any breach of the above provisions and/or at its sole discretion.

2019 Parking / Vehicle Agreement

Due to limited parking around the Lafayette Square, participating Art Vendors agree to park legally and in no bagged (closed) metered space. Clearly marked loading zones will be available for set up unloading during approved times provided by YLC prior to the beginning of the concert series. All unloading must be completed during the approved times and vehicles must be thereafter moved from the area. 

ANY ART VENDOR’S CAR FOUND PARKED ILLEGALLY AROUND THE SQUARE IS SUBJECT TO IMMEDIATE TOWING. THE ART VENDOR IS THEN SUBJECT TO REMOVAL FROM THE SERIES FOR THE DURATION OF THE 2019 SERIES AT THE SOLE DISCRETION OF YLC. Please also note, absolutely no motorized vehicles are allowed on Lafayette Square Park grounds. Any Vendor found driving on the square is subject to being removed for the duration of the 2019 series at the sole discretion of YLC

Required Documentation

YLC Wednesday at the Square requires a signed Hold-Harmless Agreement for the application to be considered. Please print and sign the Hold Harmless Agreement (link below), and submit it with the other required documents.
 

YLC Wednesday at the Square requires Arts Vendors to include a copy of their current Occupational/General Business License, below.
