Personal Data (such as name, address, phone number, E-mail address, etc) is provided through voluntary submission of a Registration Form, either on-line or hard copy. The data may also be transmitted via traditional means of contact, such as verbal conversation, a letter, or simple e-mail message. This personal data is used solely by the organizers of the event for the purpose of maintaining contact with participants about event changes, questions about event options (dancing options, hotel, etc) and for maintaining a record of financial transactions connected with costs of the event payable by the participants.
Data is processed on the legal basis of necessity for the fulfilment of a service agreement between the organizers and the participant. Beyond this, personal data is processed only with the consent of the participant. Such consent can at any time be withdrawn by notice to the organizers.
Personal data collected by the organizers will not be provided to 3rd party organizations or individuals for commercial or marketing purposes. If the organizers have placed you into our hosting hotel (Randsbergerhof), certain personal information (names of guests, age of children) are provided to the hotel for booking purposes and room assignments. Participants are also listed by first and last name in our Event Booklet, which is provided to all participants in their event packets.
Data collected by the organizers is maintained for 18 months after the event for which it is provided. Certain portions may be kept longer in accordance with retention periods prescribed by law. The data is not used to market future events by the organizers.
Disclosure Privilege: Participants whose personal data is maintained by the organizers have the right to request a record of what data is maintained in their name. The participant may also request rectification to any data, as well as the restriction or complete deletion of any personal data previously provided. Additionally, the participant may object to the processing of their data altogether (which might affect the possibility of participation in the event) and has the right to lodge a complaint with a Supervisory Authority.
Although the controller of your submitted data takes every precaution prescribed by current Personal Data Protection laws and regulations, users should know that transmission of personal data over the internet is never 100% secure or guarenteed against illegal or unethical use by unauthorized 3rd party persons.
